Privacy policy

Last updated: 28 October 2026

This Privacy Policy explains how Sportpodiums handles personal information when you visit our website, contact us, request a design or quotation, place an order, receive a delivery or sign up for updates. It also explains the choices available to you and how to contact us about your information.

Our website is an enquiry-only catalogue. Quotations, orders and payment arrangements are confirmed directly with you.

We use the information needed to run our website and business and fulfil your requests. We do not sell or rent customer contact lists. Some information needs to be held and shared with service providers such as Shopify, email providers and, where needed for an agreed order, payment providers and delivery couriers. This policy explains those uses rather than promising that no information is ever stored or disclosed.

1. Who is responsible for your information?

Sportpodiums is responsible for deciding how personal information is used for its customer enquiries, design work, orders and customer service. For these activities, Sportpodiums acts as the data controller.

For privacy questions or requests, email info@plexico.co.uk. You can also contact us at Knowle Lane, Eastleigh, SO50 7DZ, United Kingdom. Please identify your request as a privacy enquiry so it can be directed appropriately. Do not include full payment card details, passwords or unnecessary sensitive information in your message.

2. Information you give us

The information we receive depends on how you interact with us. It may include:

  • Contact and delivery details: your name, email address, telephone number, billing address, delivery address, receiving contact and site access instructions.
  • Club or organisation information: the club or business you represent and your role or relationship to the order.
  • Enquiry and order information: the selected podium or products requested, specifications, quantities, prices, order reference, delivery arrangements and records of changes or customer service requests.
  • Design information: artwork, logos, sponsor details, wording, design comments and proof approvals. Files may contain personal information, such as a named contact or a person's name included in the design.
  • Correspondence: messages sent through our contact form, email or other communication channels, together with the information needed to respond.
  • Preferences: any newsletter choice, marketing consent or other preference you provide.

Please only supply information relevant to the enquiry or order. If you give us another person's contact details, for example the person receiving a pallet at your club, make sure you are entitled to provide them and let that person know that we will use their details to arrange delivery.

3. Information collected when you use the website

Shopify and the services used to operate the website may collect technical information such as your IP address, device and browser type, pages requested, session identifiers and information about interactions with the website. This supports functions such as displaying pages, handling enquiries, remembering relevant preferences and identifying technical or security problems.

Cookies and similar technologies may be involved. The information collected depends on the features used, your settings, any consent required for those features and the choices you make. See the section on cookies below for more detail.

4. Payment information

If you proceed with a quotation, payment arrangements are confirmed directly with you. We use order and payment-status information, such as whether an order has been paid, together with the transaction records needed for accounting, refunds and resolving payment queries. Any payment provider used for an agreed order processes the payment details needed to authorise and complete the transaction.

Do not send full card numbers, card security codes, banking passwords or account login details to us by email or through the contact form. If you have a payment problem, contact us with your order reference and a description of the issue.

5. How and why we use personal information

We use customer information to answer enquiries, discuss quotations, prepare and approve designs, administer orders, arrange payment and delivery, provide support and resolve problems. For an order placed by an individual, these activities are generally necessary to take steps requested before entering a contract or to perform that contract.

When you contact us on behalf of a club or another organisation, we may use your business contact details in our legitimate interests in communicating with that organisation and delivering the requested service. Our legitimate interests also include protecting the website and business from misuse, maintaining reliable records and handling complaints. We consider the effect of these uses on individuals.

We also keep information where necessary to meet legal obligations, including relevant accounting and tax requirements. Where a use requires consent, such as certain marketing or optional tracking activities, consent is the basis for that use. A request to stop marketing does not prevent us from sending messages needed to manage an order.

6. Your artwork and design approvals

We use submitted artwork and design instructions to discuss, prepare and manufacture the order you request. We may retain the approved specification and relevant correspondence so that we can answer queries, confirm what was agreed and deal with any later problem.

Please avoid including unnecessary personal information in artwork files. Club and sponsor artwork should be supplied by someone authorised to use it. Submitting a design to us does not itself give permission to publish private contact information in advertising. If you have confidentiality requirements for a design, tell us before sending the material so we can discuss them.

7. Who may receive information?

We do not provide customer contact lists to unrelated businesses for their own direct marketing. Information may be disclosed where needed to operate the website and business, respond to enquiries and fulfil an agreed order, including to:

  • Shopify: to host the website, process information submitted through enquiry forms and support website administration and related services.
  • Payment providers: where used for an agreed order, to process payments, handle refunds and investigate payment or fraud issues.
  • Our designated courier and delivery services: to collect and deliver a pallet, contact the recipient and deal with access instructions or a delivery problem.
  • Business support providers: such as email, IT, file-storage and accounting services where they are used to manage enquiries, designs, records and customer service.
  • Professional advisers or public authorities: where disclosure is necessary for advice, a legal obligation, a valid official request or the establishment, exercise or defence of legal rights.

Access should be limited to what is relevant for the service or purpose. A courier, for example, needs the delivery address and suitable recipient contact details; it does not need the whole history of your design discussions.

8. Shopify and other providers

Our website is hosted by Shopify. Information you submit through the website is processed using Shopify's systems. Shopify can also process information for its own purposes when providing its consumer services, security features and other platform functions. The details depend on the service used and the relevant settings.

For Shopify's own processing, see the Shopify Consumer Privacy Policy and the Shopify privacy portal. A payment service or optional third-party feature may also have its own privacy notice. Our policy describes Sportpodiums' activities and does not replace the privacy notices of providers acting independently.

9. Cookies and your choices

Some cookies or similar technologies are needed for essential website functions, including security, enquiry forms and remembering relevant preferences. Optional analytics, advertising or embedded-content features, if used, may involve additional technologies and choices.

Where a consent-based feature is used, your consent can be withdrawn. Use the website's available privacy controls or contact us if you need help finding the relevant choice. You can also manage or delete cookies in your browser, although blocking essential cookies may stop parts of the website from working properly.

Accepting a privacy policy is not a substitute for consent where consent is required. A choice about optional marketing or tracking is separate from the information needed to fulfil an order.

10. Newsletters and marketing

If you choose to receive our updates, we use your contact details and recorded preferences to send the communications you requested. You can unsubscribe using the link in a marketing email or contact us directly. We may retain a limited record of your preference so that we can respect your request not to receive marketing.

Order confirmations, proof-approval discussions, delivery arrangements and responses to customer service enquiries are service communications. They may still be necessary even if you do not subscribe to marketing or have unsubscribed.

11. International processing

Providers such as Shopify may process information in countries outside the United Kingdom. Where a transfer is subject to data protection restrictions, the relevant organisation must use an appropriate lawful transfer mechanism, such as a recognised adequacy arrangement or contractual safeguards.

You can contact us to ask about the arrangements relevant to information we handle. Shopify's privacy information explains its own international processing and the safeguards it uses.

12. How long information is kept

We keep personal information for as long as it is reasonably needed for the purpose for which it was collected and any associated legal obligations. We consider the type of information, the order or enquiry involved, whether a dispute is ongoing and whether a record is needed to establish what was agreed.

  • Enquiries: for the time needed to respond and manage reasonable follow-up.
  • Orders, invoices and payment records: for fulfilment, accounting, tax obligations and any relevant claim or dispute period.
  • Designs and approvals: for the order, related support and evidence of the specification agreed.
  • Marketing preferences: while needed to provide requested communications or honour an unsubscribe request.
  • Technical and security records: for the period needed to operate, troubleshoot and protect the services concerned.

A request for deletion will be considered against these requirements. We may need to retain some records even after an enquiry or order is closed. Contact us if you want more information about the retention criteria applying to a particular record.

13. Security and accuracy

We take reasonable steps to protect the information used to run the business and limit access to those who need it for their work. No website, email service or storage system can promise absolute security. Please use secure account credentials and avoid sending unnecessary sensitive details.

Tell us if your delivery address, email address or other important information changes, particularly while an order is in progress. Keeping these details accurate helps prevent a missed delivery or an order update being sent to the wrong person.

14. Your data protection rights

Depending on the circumstances and the legal basis for processing, you may have the right to ask for access to your information, correction of inaccurate details, deletion, restriction of use or a portable copy of information. You can withdraw consent where processing relies on consent, without affecting the lawfulness of processing that took place before withdrawal.

Your right to object: you can object to the use of your personal information based on legitimate interests. You can also object to the use of your information for direct marketing at any time.

To make a request, email info@plexico.co.uk. Explain what you need and provide enough information for us to locate the relevant records. We may need proportionate information to verify your identity before disclosing or changing records. We will respond within the applicable legal timescale and explain if an exemption or other lawful limit applies.

15. Automated checks and third-party links

Shopify or payment providers may use automated tools to identify suspicious activity or assess payment security. If you have a concern about how a check has affected your order, contact us so we can investigate the issue or help identify the relevant provider.

Links to social platforms and other websites take you to services with their own privacy practices. Review their notices before supplying information. The presence of a link does not mean that we control the other service's use of your data.

16. Children and unnecessary sensitive information

Our ordering and enquiry services are intended for people authorised to arrange purchases for themselves or their organisation. We do not ask for children's personal details to make a club podium. Please do not send player lists, dates of birth, medical information or other sensitive material that is not needed for the design or delivery.

If you believe information has been supplied in error or without appropriate authority, contact us so we can assess it.

17. Complaints and changes to this policy

If you are concerned about how we handle information, please contact us at info@plexico.co.uk. You also have the right to complain to the UK's Information Commissioner's Office. Contacting us first does not remove that right.

We may update this policy when our services or practices change, or when required by law. The date at the top shows when it was last updated. Where a change requires additional notice or a fresh consent choice, we will take the appropriate steps.
